A printed list or a spreadsheet search works fine for a 50-person meetup. At a few hundred attendees, every extra second per person turns into staff hours you pay for and minutes attendees spend waiting instead of networking. Before paying for check-in software, most organizers want a straight answer: how many hours does scanning actually save, and does that cover the price?

This calculator multiplies your attendee count by the difference between manual and scanned check-in times to get staff hours saved, prices those hours at your hourly rate, subtracts the software cost you enter, and reports the net savings and return for one event. It also shows how many minutes shorter the full check-in runs with the number of stations you plan to open. It uses your numbers only; it does not assume any particular speed for either method.

How to use this tool

  1. Time a handful of check-ins both ways, or use your best estimate, and enter the average seconds per attendee for manual and scanned check-in.
  2. Enter attendees, the stations you plan to run, your loaded hourly staff cost, and what the software would cost for this event.
  3. Read the staff hours saved and net savings; if the return is small but the minutes cut from check-in are large, the case for scanning is about attendee experience rather than payroll.

What the math assumes

  • Staff hours saved equal attendee count times the difference in seconds per check-in, so every attendee is processed once and the time saved is fully recoverable as fewer paid staff hours or shorter shifts.
  • Labor is valued at the single hourly rate you enter, applied to every check-in staffer alike.
  • Minutes cut from total check-in time assumes all stations run in parallel with a continuous line and no idle time, which is a best case for both methods.
  • Software cost is whatever you enter for this one event; nothing is assumed about subscriptions, per-attendee fees, or hardware beyond what you include, and the return shows 0 when the software cost is 0.
  • Nothing is added for attendee time, fewer check-in errors, or attendance data, even though those are often the bigger reasons to scan.

Frequently asked questions

The net savings came out negative. Does that mean scanning is not worth it?

It means labor alone does not cover the software price for this event size. Many organizers still scan for the shorter line, accurate attendance counts, and fewer name mix-ups; if you pay a yearly subscription, run the numbers for all the events it covers.

Why do staff hours saved not change when I change the number of stations?

Total work is attendees times seconds per person regardless of how you split it. Stations only change how long the clock runs, which is what the minutes-saved line shows.

What counts as a scanned check-in?

Any flow where the attendee shows a QR code or barcode from their confirmation email or app and staff scan it instead of typing a name. Include the badge handoff in your seconds so both methods are measured the same way.
