Pre-printing badges means paying for one badge per registrant, sorting them alphabetically, and then discarding every badge for a no-show. Printing on site means blank stock, a printer at each printing station, and no badge for anyone who does not turn up. Which one costs less depends on your show rate, your per-badge prices, and how many printers you need, and the answer flips as events grow.

This calculator multiplies your registration count by your pre-printed badge price, then builds the on-site cost from the badges you actually print (registrations times show rate) plus per-printer cost for the event. It also solves for the break-even registration count where both approaches cost the same. It only counts money, not line speed: on-site printing adds a few seconds per check-in, which you can size separately with the station calculator.

How to use this tool

  1. Enter your registration count and the show rate you expect, using last year's scanned attendance if you have it.
  2. Enter the per-badge price from your print vendor, the per-badge consumable cost for on-site printing, and the number of printers with their per-event cost.
  3. Compare the two totals and read the break-even line; if your event usually lands near it, decide on line speed and flexibility rather than cost.

What the math assumes

  • Pre-printing produces exactly one badge per registrant, and badges for no-shows are wasted with no resale or reuse value.
  • On-site printing produces one badge per attendee who shows up (registrations times show rate); reprints and walk-ups are not added, so raise the per-badge consumable cost if you want them included.
  • Printer cost is a flat per-event amount per printer, whether rented or amortized, and it does not change with volume.
  • Labor to sort pre-printed badges and labor to staff on-site printers are left out unless you fold them into your per-badge prices.
  • Break-even is the registration count where both approaches cost the same at your show rate; a result of 0 means there is no crossover, either because on-site is cheaper from the first badge with no printer cost, or because the per-badge gap never favors on-site (check the two totals to see which).

Frequently asked questions

Does on-site printing always waste fewer badges?

For no-shows, yes, because you only print for people who arrive. The trade is a printer at each station and a few extra seconds per check-in while the badge prints, which is why many events pre-print for speakers and staff and print on demand for everyone else.

Should I include staff time in the badge costs?

If you want a full picture, yes. Add sorting and stuffing labor to the pre-printed badge price and any printer supervision to the on-site side. The calculator only knows the numbers you give it.

What show rate should I use for a first-time event?

Ask peers who run a similar event type, or run the calculator at a low and a high guess and see whether the verdict changes. If it flips between the two, base the decision on operations rather than cost.
