Check-In Station and Lane Plan
A one-page planning sheet that gives every check-in station, lane, and door role a purpose, a method, named staff, equipment, a backup, and opening hours, so the whole team works from the same plan.

A check-in plan that lives in one person's head fails the moment that person steps away from the desk. This worksheet turns the plan into a table the whole door team can read: one row per station, lane, or role, with who it serves, how attendees are checked in there, who is staffing it, what equipment it needs, what to do when that equipment fails, and when it opens and closes. The example rows show a common layout for a mid-sized conference with any-line stations, an express lane, a separate desk for speakers and sponsors, a walk-up and exception desk, line marshals, a printer minder, and a session door. Replace the names, counts, and times with your own.
Fill it in after you have settled the station count and the badge strategy, since both change the equipment column. The Event Check-In Station Calculator on this site gives you a station count from your peak arrival window, and the On-Site Badge Printing Cost Calculator helps decide which lanes need a printer at all. Our articles on running multiple check-in stations without checking anyone in twice and on handling walk-up attendees explain why the exception desk and the shared attendee list get their own rows. Tape the finished sheet to the back of each station's tablet stand so the plan is visible without anyone asking.
| Station or lane | Who it serves | Check-in method | Staff and role | Devices and printer | Backup if it fails | Opens and closes |
|---|---|---|---|---|---|---|
| Station 1, any line | Any attendee with a QR code or a name on the list | Scan the QR code; name search only as a fallback | 1 scanner operator: Your name | Tablet with scanner, badge printer, one box of blank stock | Switch to the hotspot; if still down, keep scanning offline and sync later | Opens 45 min before doors; closes 30 min after the opening session starts |
| Station 2, any line | Same as station 1 | Same as station 1 | 1 scanner operator: Your name | Tablet with scanner, badge printer, one box of blank stock | Same as station 1 | Same as station 1 |
| Station 3, overflow | The main line once it passes the second sign | Same as station 1 | 1 scanner operator on standby: Your name | Charged tablet and printer staged behind the desk | Absorbs station 1 or 2 traffic if a printer jams | Opens when the line reaches the overflow marker; closes when the line clears |
| Express lane | Pre-checked attendees with the QR code already open | Scan only; pre-printed badge handed over from the alphabetized box | 1 scanner operator plus 1 badge puller: Your names | Phone with the scanning app, badge boxes A to Z | Send attendees to the any-line stations if the boxes fall out of order | Opens with doors; closes at the end of the peak window |
| Speaker, sponsor, and staff desk | Speakers, sponsors, volunteers, press | Lookup against a short list; pre-printed badges with lanyard colors | 1 host who knows the speakers: Your name | Laptop with the full list, small printer for corrections | Blank badges and a marker for late additions | Opens 60 min before doors; closes after the last session starts |
| Walk-up and exception desk | Walk-ups, missing names, duplicates, payment questions | Create a record, take payment if allowed, print a badge on the spot | Most experienced staffer: Your name | Laptop with admin access, printer, card reader, cash box if needed | Paper attendee list and a handwritten badge, with a paper log entered into the system by noon | Opens with doors; stays open all day |
| Line marshals | Everyone waiting in the main line | Pre-check: QR code open, name spelled right, problems routed to the exception desk | 1 to 2 marshals: Your names | Phone with the attendee list, handheld signs | Verbal routing by ticket type | Peak window only; then join the floater role |
| Printer minder | Stations 1 to 3 | Watch stock levels, clear jams, swap ribbons or ink | 1 minder for every 3 stations: Your name | Spare printer, spare stock, spare ribbon, power strip | Route printing from a jammed station to its neighbor | Full peak window; on call afterward |
| Session door: Main hall | Ticket types allowed: Your list | Scan every badge at the door and count against the room capacity | 1 door scanner per entrance: Your name | Handheld scanner or phone app, capacity set to Your figure | Hand clicker and a paper tally | 10 min before each session; closes when the session starts |
